Custom Cable Assemblies: Which Records Make Sample Approval Traceable?

Acceptance records for custom cable assemblies should let another reviewer identify what was inspected, which requirement applied, what was observed and who decided the result was acceptable. A photograph of a finished cable or a page stamped “PASS” rarely answers all four questions. Agree the record package before the sample is assessed, so the decision remains understandable when production, a repeat order or a field issue is reviewed later.

Imagine receiving the file six months later

A sample has been approved, but its report names only “custom cable.” Two drawing revisions are attached to the order, and the photograph has no sample identifier. Which build does the approval cover? This hypothetical document gap can exist even when the inspected cable was perfectly made. The evidence cannot be confidently connected to the product.

Start the package with a short record index. List the assembly part number and revision, the inspected sample or batch, the applicable drawing set and the individual report references. Keep the accepted evidence with the approval rather than relying on a shared folder whose contents may later be replaced.

KMYD's custom M12 cable page identifies several configurable features. For a configured order, a broad family description should therefore lead to a specific assembly identifier before inspection records are attached to it.

A product image can help locate the relevant cable family. An acceptance record needs the identity of the actual sample or lot that was assessed.

Give each finding a route back to its requirement

Arrange the record by decision, not by the order in which documents arrived. A reviewer should be able to start at any acceptance finding and trace it back to a requirement and forward to the inspected item. Where a requirement is not applicable, state the reason. An unexplained blank can mean “not checked,” “not required” or simply “forgotten.”

Item identityConnects the finding to the sample, serial number or defined lot.
Requirement referenceIdentifies the drawing, clause or agreed criterion being evaluated.
Method and scopeShows what was inspected or measured and what was outside the check.
ObservationPreserves the result, relevant measurement or referenced evidence.
DispositionRecords accepted, rejected, pending or accepted under a specific concession.
Approval referenceIdentifies the responsible decision and the date it took effect.

The required detail depends on the consequence of the decision. A visual finding may use an annotated photograph and a drawing note. A dimensional result may need the measured value and reference method. An electrical report needs its applicable program or procedure and criteria. This is a way to organize evidence, not a claim that every possible test is necessary for every order.

Separate the approved sample from the delivered lot

Sample approval establishes what was reviewed for that identified sample. It does not, by itself, show that each later shipment matches it. State how production deliveries will be identified and what evidence must accompany them. If inspection uses sampling, agree the applicable plan and record the inspected quantity and lot boundary; do not describe a sample result as inspection of every unit.

Traceability should follow the real manufacturing and delivery arrangement. A lot identifier may be sufficient for one purchase, while another requires individual assembly identifiers. Decide that before the records are generated. Asking for serial-level history after an unnumbered batch has shipped may demand information that was never collected.

Cirris provides an example of how test-data capture can be configured: its SPC data-collection documentation lists report information and notes additional requirements for recording cable serial numbers. The lesson for a buyer is to agree which fields will actually be supplied. It is not evidence that KMYD uses that tester or supplies the same data package.

An exception needs its own decision

Suppose a sample passes the agreed electrical checks but differs from a drawing note governing identification. Keep both facts. A single overall “PASS” would hide the difference, while a blanket rejection would discard useful findings. Record the deviation, its affected items and the authorized disposition separately.

A concession should say what is being accepted and how far that acceptance extends. Acceptance of one sample or shipment should not silently revise the master drawing. If the requirement itself changes, issue the revised record and identify whether any checks must be repeated. Retain the earlier evidence so the decision can be reconstructed.

Where work is corrected, link the original finding to the correction and subsequent verification. Avoid replacing a failed report with a clean one that removes the history. The purpose is to show that the specific issue was resolved, not merely that a newer document contains a favorable result.

A different endpoint combination needs its own approved identity and evidence references. Similar order wording does not make two custom builds the same inspected item.

Make the approval useful to the next person

Before closing sample review, ask someone who did not assemble the package to locate the accepted drawing, identify the assessed item and explain any open exception. If those answers depend on an unrecorded conversation, add the missing reference while the details are still available.

For the next delivery, request the agreed record index with the shipment identity, not another generic certificate detached from the order. The useful deliverable is a connected set of decisions: this requirement, this assembly, this evidence and this disposition. That is what lets purchasing, quality and service teams rely on the same approval.

Example of configurable test-data fields: Cirris SPC Data Collection documentation. Record formats and deliverables must be agreed with the actual supplier.
